Users

There are two types of users.

  1. Normal:

Normal users are associated with a location or CWS administrator.

2. External

External users are identified as customers and retailers.

Both users are granted permissions subject to the User Group they are assigned.

Create New User (Normal)

Populate the template

User name: Defaults to first.last name; This can be overwritten if required. Password; Contain at least one Capital letter, numbers and be at least 8 characters long Target: This relates to a service technicians daily $ target. Fill in the Dollar amount. If the user is not subject to a daily target leave blank. Super User: This user has System wide access for all features. This is limited to a few users only. Leave Blank. User Group: Select the user group that this user will be assigned. Default Location: Select the location the User is assigned to. This limits the access to that location's records only.

Main Contact: Fill in the form ensuring the email address and contact numbers are recorded. The email address is used to assign a work order to this user. Alerts are sent to the email address and text's can also be sent.

License and Insurance

Record the users Insurance policy details and Trade Operating licence details

Associate Users with Locations and Events

Open User in Admin/Users by clicking the magnifying glass icon

Locations: Select "Add locations" and tick the locations this user is authorized to access. Roles: Open tab and click the roles this user performs Work Order Events: When the work order status changes this section automatically sends an Internal message, Email, or SMS message to this user. This is further defined by selecting Delivery Condition by double clicking "Is the owner" to reveal 3 options a. "is the Owner" b. "In Default Location" c. "In Any Location"

System Events: In this section the alerts can be restricted to selected statuses. Open the tab and click on the statuses to trigger an alert to be sent.

Aged Work Orders This sections automates the sending of alerts based on status and age. If the status selected does not change after the selected days an alert is sent to the user to review. Age: Double click 7 Days and select the number of days that will trigger and alert. Delivery conditions: Double click "Delivery Conditions" and select one of the three option a. "is the Owner" b. "In Default Location" c. "In Any Location" Click "Update" to save.

External Users

Create a New external User

Click on "New External user and fill in template: Last Name: Fill in name of user. User name: Defaults to first.last name; This can be overwritten if required. Password; Contain at least one Capital letter, numbers and be at least 8 characters long Target: This relates to a service technicians daily $ target. Fill in the Dollar amount if the user is not subject to a daily target leave blank. User Group: Select the user group that this user will be assigned.

Main Contact: Complete contact information Note: Minimum information is Contact phone number and email address.

Associate external User with a group scheme and/or retailer branch

On the Group Schemes tab select the group scheme/s this external user will be able to access.

Associate external User with Retailer Branches

Select the retailer and then the branch/Branches the external user may access.
